Recommended Best Practice
Before reading the details below, it's important to note that the recommended sequence of reviewing your data is as follows:
- Inventory (if you use the inventory import)
- Sales
- Refunds
For each of the above, the best practice is to complete all outstanding tasks before moving to the next one. You'll know that you have completed the outstanding tasks for each item because the notification for inventory/sales/refunds will be gone.
Fees can be reviewed at any time.
Sales
Sales get pulled in automatically each day -- you can also run a manual pull of new sales by clicking “Integrations” and clicking the refresh icon next to the integration line.
Sales are assigned an "Unreviewed" status when they are pulled into MRG. This will show as a notification that says "Click here to review new sales." When you click this notification, you can either mark the sales as reviewed or match them to inventory.
*If you see a sale highlighted in yellow, this means the order has not been officially completed. When it is completed, the yellow highlight will disappear.
If you don't track inventory
If you don't track inventory in MRG, you'll mark the sales as reviewed by selecting the box on the left of the "Review Sales" screen and clicking "Mark Reviewed".
If you do track inventory
If you do track inventory, you'll select the sales you want to match and click the "Match to inventory" button. The selected sales will be sent to the auto-matcher.
The auto-matcher will match sales to inventory based on "Item Title" and “SKU”. Matches are approved by selecting the box next to each line and clicking the "Match Sales to Inventory" button. If your sale doesn't match to an inventory item automatically, you can click the "Go to Manual Sales Matching" button. From here, you can either search inventory for the item by typing in the "Item Sold" box, or you can click "Add Inventory Details" to add the inventory information that you want to assign to the sale.
Once you've matched all the items, a "Confirm Matches" window will appear. When you click "Submit", the inventory information will be attached to the sales and the inventory items will be removed from the Inventory tab.
Inventory
Every day, new listings created in the sale platform are pulled by MRG and are assigned a "pending" status. They will not show up in your inventory list until you have approved them to be added -- you can also run a manual refresh to pull new listings by clicking “Integrations” and clicking the refresh icon next to the integration line. To view the pending inventory, click on the notifications and select the notification that says "Click here to review pending inventory."
If you don't track inventory or don't need inventory synced
You can turn off inventory syncing by clicking “Integrations” and unchecking the box that says "Daily Integration - Inventory" next to the integration’s line.
If you do track inventory
To add new inventory, click the notification saying "Click here to review pending inventory." If you haven’t reviewed inventory for a while, you can reduce the items you need to review by unchecking the “Review All” toggle in the upper right of the inventory screen.
Sometimes items will pull that have already been entered into MRG. This occurs when a new listing gets created for an existing item. There isn't a way for MRG to automatically tell that the item is already in your inventory because it isn't associated with the old item; however, MRG will send all your new pending listings to a "Duplicate Checker" first.
The duplicate checker pictured above will match up items by title first. If the title is the same, it will show the list date of the original listing and the new listing as well as the number of current listings with a matching title vs the number of new listings ready for import.
If the new listing has already been entered in MRG, you can select the checkbox on the far left and click the "Remove from Import" button. However, if you have new items with an identical title, you can select the checkbox on the far left and click the "Add to Import" button.
Once you have reviewed these potential duplicates, you will see another duplicate checker screen that looks for duplicate sku’s. Repeat the review process mentioned above.
Once all items are removed or added, you'll be taken to the "Inventory Import" screen. On this screen, you will see all the pending items and be able to assign values for purchase price, purchase date, brand, and location. If you want to copy the values from the item above, click the "Copy" icon on the line of the item. If you want to delete the item from import, click the "Trash Can" icon. You can also remove all the items by clicking the "Remove All" button at the bottom of the screen. Finally, when you are ready to import the new listings, click the "Add" button and then "Submit".
Refunds
Refunds will be pulled into MRG and automatically matched to the sale. You will be prompted to review and finalize these returns with a notification that says "Click here to review new returns/refunds/cancellations."
When you click this notification, you want to be sure that the sales have been finalized before approving the returns/refunds. Click the "Go to Sale" button to view the sale. If any information needs to be added/updated, do this and click "Update". After updating the sale, click the "Finalize Return" button, and answer the questions on the form.
If you mark "Yes" as the answer to the "Did you receive the item back?" question, MRG will remove the expense for this item and add the item back to your inventory balance. It will also create an item in inventory matching the item that was returned. You should only mark this if you received the item back and can still sell the item. If you mark "No" for this question, MRG will not create an inventory item and will not add the item's value back to your inventory balance.
Fees
Fees will be pulled into MRG automatically as well. If fees can be associated with a sale, they will either appear in the "Shipping Costs" or "Other Fees" fields of the sale. To see a full detail of fees and other expenses, go to the "Transaction Details" and select "Expenses".
